Information we process

Billable Recall processes information only to provide the features you choose to use:

• client and project names, matching keywords, hourly rates, currencies, and rounding preferences;
• timer state, work descriptions, dates, durations, billing status, and calculated values;
• recovery suggestions derived from calendar event titles, start and end times, event identifiers, and client matches;
• app preferences such as layout, haptics, and reminder settings; and
• subscription product and entitlement status supplied by Apple.

This information is stored locally on your device and, when iCloud synchronization is available, in your private iCloud database. Cole Works does not operate a separate account or application server for Billable Recall.

Calendar access

Calendar access is optional. Billable Recall requests full calendar access only when you start a calendar scan or grant access during onboarding. The app reads events within its scan window to identify non-all-day events that may represent untracked work.

Matching is performed on your device. When a potential recovery is found, the app stores the event title, time range, event identifiers, suggested duration, and matching evidence as a recovery suggestion. Nothing is added to your billable ledger until you confirm it.

You can deny or revoke Calendar access at any time in Apple Settings. Timer, client, project, and manual ledger features remain available without Calendar access.

iCloud synchronization

Billable Recall uses Apple CloudKit to synchronize app data between your iPhone and iPad when you are signed in to iCloud and CloudKit is available. These records are stored in the private database belonging to your Apple Account. Cole Works does not operate a separate sync server and does not use your CloudKit records for analytics or advertising.

Apple processes iCloud data under Apple's terms and privacy policy. Billable Recall may use Apple's background notifications to learn that synchronized records changed.

Notifications

If you enable reminders, Billable Recall schedules local notifications for daily ledger review or a timer that has been running for about eight hours. Reminder settings and notification permission can be changed at any time. Billable Recall does not send marketing notifications.

Purchases and subscriptions

Billable Recall Pro subscriptions are offered through Apple's In-App Purchase system. Apple processes payment and provides the app with product information and verified entitlement status. Cole Works does not receive or store your full payment-card details. Purchase history and payment information are handled by Apple under Apple's terms and privacy policy.

Data sharing

Cole Works does not sell your personal information and does not share it with advertisers or data brokers. Billable Recall uses Apple services only where needed to provide iCloud synchronization, App Store purchases, and operating-system functionality.

If you export a CSV or PDF, you choose where that file is sent or saved. Information is then handled by the destination you select.

This website does not use advertising, analytics, or tracking cookies. Its hosting provider may process basic network and security logs, such as IP address, request time, and requested page, under the provider's own terms and privacy policy.

Data retention and deletion

Local app data remains on your device until you delete individual records or remove the app. Ledger entries moved to Trash are automatically deleted after 30 days unless you restore or permanently delete them sooner.

Removing the app deletes its local data, but synchronized records may remain in your iCloud storage. You can manage or delete Billable Recall's iCloud data through your Apple Account's iCloud storage settings. Apple may retain purchase records as required for transaction history, tax, fraud prevention, and legal obligations.

If you contact support, we receive the email address and information you choose to include. We use it to respond and retain it only as reasonably needed for support, security, and legal recordkeeping.

Children's privacy

Billable Recall is a professional productivity tool and is not directed to children. Cole Works does not knowingly collect personal information from children through the app.

Changes to this policy

We may update this Privacy Policy when Billable Recall's features or legal obligations change. The effective date at the top of this page will be updated when changes are published. Material changes will be communicated where appropriate.
